What is a file?

A file in a word processor can be explained as the collection of records or texts i.e documents under a name.  A file maybe a letter typed and stored in a computer giving it a name.

 

CREATING A FILE

Creating a file is a process involved when a user type or process the word (text) and after the document is created.

STEPS IN CREATING A NEW DOCUMENT

  1. Click on file menu
  2. Select blank documents
  • Click ok (then type your documents)

OR

  1. Press CTRL + N keys together from the keyboard

SAVING A DOCUMENT

Saving of documents is necessary because prepared documents are sometimes required in future.  Saving is a process of storing documents with known file name.  Documents can be stored on the floppy disk, flash disk, Cd ROM, hard disk etc.

PROCEDURES FOR SAVING DOCUMENTS

  1. Press CTRL + S (save ass dialogue box appears)
  2. Type the name of the file,
  3. Select the location where you want to save it e.g Hard Disk, CD etc
  4. Press ‘ENTER’ key

OR

  1. Click on file menu
  2. Select ‘save as’ (save as dialogue box appear)
  3. Type in the file name in the file name box.
  4. Select the location where you want to save it
  5. Click on the save button.

 

RETRIEVING A FILE

Retrieving is the process of bring back saved file from a storage location.  It is also referred to as opening a saved file.

STEPS INVOLVED IN RETRIEVING A FILE

  1. Click on file menu
  2. Select ‘OPEN’ (a dialogue box will appear)
  3. Click on the location where the file was saved.
  4. Type the file name in the file name box,
  5. Click on the ‘OPEN’ button.
